Princeton Academy of the Sacred Heart, an independent Sacred Heart School for boys in Kindergarten through Grade 8, seeks a full-time Director of Finance and Operations to begin work on July 1, 2018.

Position Title: Director of Finance and Operations

FLSA Classification: Exempt

Reports to: Headmaster

Start Date: July 1, 2018

Position Purpose:  Ensure the fiscal and operational effectiveness of the School to support the educational mission and vision of the School with the Headmaster.  Manages and coordinates business operations, including business planning and budget preparation, business reporting and filings, human resources administration, payroll, accounts payable, accounts receivable, contract and grant accounting, cashiering, and physical plant operations and campus security.


Essential Functions

  • Senior Leadership Team (SLT) position reporting directly to the Headmaster and acts as a liaison to the Board of Trustees.

  • Participates on the following Board Committees: Finance, Investment, and Building & Grounds.

  • Responsible for managing the following areas: Business Office, Facilities (Building & Grounds), Technology Office, Receptionist, Campus Security.

  • Responsible for the professional management of the fiscal and operation aspects of the School.

  • Ensures compliance with school policies and procedures as well as state and federal regulations.

  • Oversees and directs budgeting, audit, tax, accounting, payroll, treasury, purchasing, real estate, long range forecasting, insurance activities for the organization, and business planning and management.

  • Appraises the school’s financial position and issues interim reports on its financial stability, liquidity, and growth to the Headmaster and various committees of the Board.

  • Develops, implements and maintains internal financial reporting systems, financial controls and management information systems in compliance with GAAP and tax law.

  • Develops and implements systems and processes to establish and maintain records.

  • Oversees the preparation of reports of disbursements, special analyses, and information reports for school administration and the board. Presents recommendations for changes and/or improvements, monetary control and adherence to the budget.

  • Directs and analyzes studies of general economic, business, and financial conditions and their impact on the school’s policies and operations.

  • Establishes and maintains contacts with board members, key donors, financial institutions, and the investment community.

  • Manages the school’s tuition assistance program.

  • Oversees the school’s security systems and procedures and makes recommendations for appropriate upgrades.

  • Oversees and manages the school’s property, casualty, health, and liability insurance programs.

  • Manages and administers employee benefit programs and costs.

  • Approves all financial obligations of the School.

  • Manages cash, cash-related receipts, accounts receivable and credit and collection functions, ensuring a timely processing of billings, payments and collections.

  • Manages operational cash flow by maintaining adequate sources of borrowing, endowment and investing excess cash in short term funds in accordance with established policy.

  • Leads the annual budget and quarterly forecasting process.

  • Maintains an effective system of internal management controls throughout the School. Addresses issues resulting from the independent financial audit and internal management audits.

  • Preparing all periodic surveys and reports for the school’s trade organizations (e.g. , NAIS, NBOA, and PAISBOA, etc); preparing other similar data as requested.

  • Taking lead position on preparation of schedules and work papers for annual audit; maintaining permanent office files for all audit schedules prepared by school.

  • Develops and implements appropriate training and development opportunities for direct reports.

  • Maintains a strong partnership with the Headmaster to ensure that the educational goals of the School are in sync with the business/fiscal goals of the School.

  • Serves on the School Leadership Team (SLT) and as such is responsible for playing an integral role in the leadership of related aspects of the current Strategic Plan: Epic Vision: Soaring with Heart.

Qualifications:

  • Passion and enthusiasm for the mission and vision of Princeton Academy

  • MBA or bachelor’s degree in accounting, CPA certification, and a minimum of five years of relevant experience.

  • Ability to communicate effectively with board members, school representatives, parents, students, and representatives from the business and financial services communities.

  • High business acumen; working knowledge of business accounting and financial planning policies, procedures, practices and software programs.

  • Ability to think and plan strategically and creatively.

  • Ability to supervise and manage multiple functions and activities.

  • Working knowledge of building mechanical, plumbing and electrical systems.
